The Specialist, Event Experience is a key member of SHRM’s Event Strategy and Experience team which is ultimately responsible for the planning, documentation and execution of SHRM’s Annual Conference and specialty conference portfolio. The Specialist oversees all aspects of event registration management for both in-person and virtual events while also supporting delivery of event technology, accessibility, and other logistics. The Specialist is driven by customer service excellence while understanding how to manage work under tight deadlines and volumes. They thrive on analyzing data and can use data to project registration and revenue trends. They will be tech savvy and stay attuned to the latest event technology trends. The Specialist helps to ensure all SHRM conferences are meeting best practices in accessibility and inclusivity, and is relationship driven, innovative and can mange several projects and events simultaneously.

Responsibilities

EVENT REGISTRATION & ATTENDEE SERVICES MANAGEMENT

  • Oversees execution and monitoring of SHRM event policies and procedures in collaborative openness with team members.

  • Creates and manages event products and discount codes in NetSuite and related technologies.

  • Provides daily, weekly, and monthly registration counts, revenue projection reporting and dashboards. Analyzes registration data and trends for benefit of event business.

  • Leads assembly and creative management of onsite registration materials (badges, bags, ribbons, lanyards, printed materials, SHRM and sponsor branded items, etc.).

  • Plans and leads logistics layout of registration space as well as the staffing and security needs onsite at registration service locations.

  • Delivers excellent customer experiences while troubleshooting all registration-related issues.

  • Contributes to all registration-related attendee communications.

  • Builds strong relationships and works cross functionally with key internal stakeholders across Accounting, Customer Experience, IT, eCommerce, Business Intelligence and more. Leads relationship with external registration vendor.

  • Participates in event related technology integrations and project manages timelines, budgets, and overall product delivery.

EVENT TECHNOLOGY

  • Supports our event technology innovation including projects such as building the conference apps, virtual event platforms and websites.

  • Tests projects for user experience (UX) and clarity.

  • Must have strong interest in technology trends and solutions and previous experience project managing API integrations.

ACCESSIBILITY

  • Through registration data collection of demographics, dietary requirements, allergies, and/or special needs, ensures all accessibility requests are met at SHRM events.

  • Manages services such as American Sign Language (ASL) interpreters, other hard of hearing services, and/or mobility assistance such as scooters and wheelchairs.

  • Stays abreast of ADA policies and contributes to making SHRM conference accessibility services are inclusive and best in class.

EVENT LOGISTICS

  • Supports other areas of our event experience delivery which may include food and beverage, transportation, freight management, budget management, and more. Performs other duties as assigned to support SHRM events.

OTHER DUTIES

  • Represents SHRM guiding principles in all dealings with a specific emphasis on raising SHRM’s profile within the business events industry. Other duties as assigned.

Education & Experience

  • Bachelor’s degree in Business, Marketing, Hospitality, Public Relations, or equivalent relevant work experience/training.

  • At least three (3) years of progressively complex experience in a similar work environment and role, preferably with medium to large brand(s) or organizations.

  • Agency experience preferred.

  • Clear demonstration of successful project management with live and virtual events/conferences.

Knowledge, Skills & Abilities

  • Strong project management, customer service, collaboration, and time management skills.

  • Consistent attention to detail, organization and prioritization, with an ability to multi-task and manage complex projects.

  • Self-starter attitude, collaborative spirit and ability to be flexible and move quickly in a fast-paced environment.

  • Strong ability to build relationships with both internal and external partners.

  • Clear written and verbal communication skills.

  • Good judgment skills with creative problem-solving capabilities and adherence to deadlines.

  • Proficiency in Microsoft Excel, Word, PowerPoint, Outlook, and NetSuite or other registration and financial management software.

  • Familiarity with CDS, MapYourShow, Tableau, Salesforce, and Marketo or other e-mail marketing platforms are a plus.

Other

Must be able to perform essential duties satisfactorily with reasonable accommodations.

Work is regularly performed in a combination of office and conference settings and routinely uses standard office equipment.

Moderate travel to conference venues required.
